I've been the project manager for the decision process and upcoming
implementation of Google Apps @ NC State (google.ncsu.edu). 
 
Frankly, it was not real easy working with Google to establish the
Google Apps Education Edition or Google Message Discovery (Postini)
agreements. Our legal department had several areas we weren't ready to
give in on and as a result it took more months than we had anticipated,
that's for certain. At the end of the day, Google compromised on a
couple of things that were critical for us and we gave in on a few areas
we decided we could live with. 
 
Based on conversations with quite a few other schools, Microsoft has
generally been more willing to negotiate on contract language, at least
for Live @ EDU (now called Outlook Live),  than Google has been. My
sense is Microsoft is much hungrier, in part because they don't have the
market share.

Those universities that outsourced email for students and/or
faculty/staff to Google, I have a question:
 
How willing was Google to work with the universities on amending their
default contract? We have a basic set of terms and conditions for
software purchases and will try to get at least some of the language
into contracts. 
 
I do not have much experience with Google, but in the past, large
corporations have not been willing to generate institution-specific
contracts and so I was wondering whether outsourcing student email to
Google means accepting their terms.

Hi Linda,

I'm now at Macalester College (which migrated everyone to Google
without a hitch about 2 years ago) but I just came from Hamline
University where they just completed a migration of the students to
Google.  When I was there, in the interest of doing due diligence, I
asked the (undergraduate) Helpdesk students to do a comparison of
Live@edu vs Google and report their findings.  Their response was quick:
 "We'll do it, but we can tell you the answer already.  All of the
students love and already use Google; we wouldn't even consider
Microsoft."

There's been a lot of discussion within the department about privacy
and security but the general feeling remains that the standing contract
is sufficient to protect privacy and Google resources will always be
better at protecting security than what we could possibly provide.  And
the sense is that the recent Chinese episodes will only strengthen this
environment.
