Re: Questions Regarding Student Use of Personal Email

Hi Brianne,

Here at Oakland we document in policy that the University provided email
is used for official communications and further states that students are
responsible for checking it weekly. For tickets in help system, etc we
will require the contact information to be used as the contact. From an
operational perspective we don't have any technical controls to prevent
corresponding with a student's personal email address We do not offer
Alumni accounts at this time. Visiting professors can be handled a few
ways but largely I would say the accounts are removed as soon as their
affiliation with the University ends.

Let me know if I can provide any other information.

We are reviewing our email policies and currently allow our students to
use their personal email addresses when conducting school business. Having
attended both a traditional university and online university myself, I can
see the pros and cons of both a university-issued email and allowing the
use of personal emails. I am trying to understand what best practice is
before making a recommendation to my CIO.

My questions are as follows:

- Does your university allow students to use their personal email
addresses when communicating with the organization?

- How long do you keep alumni accounts active?

- How about email accounts belonging to Visiting Professors?

Thank you in advance for your insight.
