Dear Security Discussion Group Subscribers, As the staff coordinator of the EDUCAUSE Constituent Group program, I am writing to address concerns regarding offline solicitation and association policy on email list distribution. The Security Discussion Group list is part of the Constituent Group program. The program description <http://www.educause.edu/ConstituentandDiscussionGroupProgram/890> and participation guidelines <http://www.educause.edu/ConstituentGroupParticipationGuidlines/892> have been established to support member interest in educational and collegial communications forums, operating on an open subscription basis. Over the years, the question of the appropriateness of offline contact by commercial representatives has come up periodically. Subscribers have weighed in with a range of opinions, and group leaders regularly review and consider this policy. The general consensus has been continued support for maintaining an open community environment. All subscribers are expected to participate with the group in a collegial and informative manner, and online solicitations are unacceptable. While some may view an offline solicitation "spam" another may be delighted to learn of a possible solution. Let me assure you that the Constituent Group program group subscriber lists are not available to the public and they are wholly separate from the EDUCAUSE membership directory. EDUCAUSE is committed to protecting the privacy of its members. In this connection, directory information on our Web site is covered by the following policy, which is clearly stated on our directory pages: "EDUCAUSE membership information is provided as a service for our members. It gives members the opportunity to share information about common problems and solutions and a chance to network with their peers. Neither members nor nonmembers are to use it for commercial gain or for research that is not explicitly sponsored by EDUCAUSE." One benefit of EDUCAUSE corporate membership is being able to request mailing labels for different selections and sorts of EDUCAUSE member representatives. As part of the process, corporate members must submit a copy of the mailing piece. Only mailings that are consistent with the EDUCAUSE mission will be approved. Files or lists with e-mail contact information are never provided or sold. EDUCAUSE members can set privacy parameters removing them from directory listing and mailing label lists through the Manage Profile feature of the Web site <http://www.educause.edu/profile>. We understand that higher education decision makers represented by the association absolutely detest unsolicited email. EDUCAUSE policy has been written as much to protect our corporate members and exhibitors from inadvertently creating bad will as to protect our institutional members from unsolicited mailings. That said, there is nothing to prevent unscrupulous vendors, whether or not they are corporate members, from harvesting contact information from our publicly accessible directory. They can do that just as well from institutional directories. I hope this message clarifies the program and answers your questions.
